Before your notary appointment

A little preparation can prevent a second trip and avoid signing the wrong way.

Explain the intended use.

Tell the office the type of document, the receiving organization and whether it will be used outside Canada. Provide the recipient's written instructions where available. Do not assume that ordinary notarization satisfies every foreign-use requirement.

Ask what originals and identification to bring.

The required identification and supporting documents depend on the requested service. For a certified copy, expect to need the original for comparison. Confirm the requirements before attending rather than sending identification through an unsolicited message.

Do not sign too early.

Where witnessing your signature is required, the office must give you the appropriate signing instructions. An already-signed document may not satisfy the service you requested. Ask before completing dates, declarations or execution blocks.

Distinguish the service you need.

Drafting a power of attorney, receiving legal advice, witnessing a signature and certifying a copy are different services. Confirm what is included in the appointment and the applicable fee.

Confirm appointment arrangements.

Ask about availability, location and any mobile or remote arrangement needed. Remote service is not available for every document. A document's acceptance remains subject to the receiving institution and any further requirements.

This guide provides general preparation information, not legal advice. The right step depends on your actual documents, circumstances and any applicable deadlines.
